About The Job
The Provider Operations Analyst is responsible for managing the schedules of 35+ providers, ensuring optimal clinic operations, and achieving revenue goals. The coordinator will also be the key administrator managing credentialing tasks for new providers and reminders for maintaining up to date licenses. This role is critical in:
The position requires a high level of organization, attention to detail, ability to prioritize multiple urgent tasks, and technical proficiency in building databases, building schedules and analyzing trends and generating simple revenue forecasts. Preference for candidates experienced with Athena EMR.
This is a remote position.

Compensation Range: $80K - $110K

About The Job
The Provider Operations Analyst is responsible for managing the schedules of 35+ providers, ensuring optimal clinic operations, and achieving revenue goals. The coordinator will also be the key administrator managing credentialing tasks for new providers and reminders for maintaining up to date licenses. This role is critical in:
- maintaining accurate and timely appointment schedules for the all all of the clinicians,
- enhancing patient access by constantly adjusting and monitoring appointment utilization,
- meeting fiscal targets when creating appointment templates,
- and managing provider credentialing and collaboration agreements as a part of onboarding.

What You Will Do
- Schedule Management: Maintain and update all provider schedules, ensuring all available appointment slots are filled efficiently. This includes daily monitoring of utilization rates, reviewing week ahead demand and supply forecasts, adjusting providers work hours if demand is out of sync with provider schedules, and providing analysis on previous week/month appointment performance. Analysis will include cancellation rates, no shows, utilization rates, scheduling completion and other variables as required.
- Coordination: Revise provider schedules as needed due to cancellations or additions, and communicate changes to relevant personnel.
- Appointment Allocation: Ensure patients are scheduled with the appropriate providers based on the patient’s geographic location and appointment timing.
- Policy Implementation: Recommend and implement changes in scheduling policies and procedures.
- Follow-up Scheduling: Analyze the rate of follow up appointments required by appointment type and ensure they are accessible in the provider templates. Create follow up campaigns for certain payors if required. Schedule follow-up appointments as necessary.
- Phone Support: Assist patients with scheduling appointments over the phone, especially in challenging locations.
- Worklist Maintenance: Identify strategies to reduce the need for waitlists, but if they are required implement and support the most efficient mechanisms to manage electronic worklists, including waitlists and EMR appointment scheduling reminders.
- Credentialing: Handle credentialing and manage state collaboration agreements for providers, including Nurse Practitioners.
- Liaison Role: Act as a liaison to the Visana Health Medical Group administrative team, facilitating communication and coordination.
- General Support: Provide administrative support to clinical operations, including ensuring insurance eligibility and other patient-related activities.
- Additional Duties: Perform other duties as assigned by the employer.
- Experience:
- 3-5 years of experience in a medical office or customer service environment.
- 3-5 years of experience with electronic medical scheduling.
- Skills and Abilities:
- Exceptional customer service skills.
- Excellent verbal, listening, and written communication skills.
- Ability to create databases and generate simple revenue forecasts.
- Ability to research medical board regulations and execute necessary actions.
- Strong multitasking and problem-solving abilities.
- Independent thinking and initiative.
- Experience with Athena EMR is a plus, but not required.
