The Opportunity:
We are seeking an exceptionally organized, proactive, and resourceful Executive Coordinator to support our C-suite and senior leadership team. You will serve as the backbone of administrative operations, ensuring executive leaders can focus on strategic priorities. This role requires someone who is a natural problem-solver, thrives on juggling multiple responsibilities, and has a high bar for excellence.

You’ll be part of a small but mighty admin team, reporting to the Chief of Staff, with broad exposure across the entire organization.

Key Responsibilities
  • Executive Support: Manage day-to-day administrative operations for C-suite leaders including calendaring, meeting prep, note-taking, and follow-ups.
  • Calendar & Meeting Management: Coordinate complex schedules across multiple stakeholders with attention to time zones, dependencies, and priorities.
  • Travel & Expenses: Plan, book, and manage all travel arrangements (air, lodging, ground), including preparation of detailed itineraries and timely expense report submissions.
  • Cross-Team Collaboration: Partner with the broader administrative and operations teams to support company-wide initiatives and events.
  • Office & Errand Support: Oversee physical logistics for meetings/events (supplies, catering, setup) and run local errands as needed (requires reliable personal transportation).
  • Ad Hoc Projects: Jump in where needed—this role is ideal for someone who thrives on being a utility player and wearing multiple hats.

What Success Looks Like:
In the first 6–12 months, you’ll:
  • Consistently maintain high-level executive calendars with minimal conflicts or errors
  • Proactively manage travel logistics to reduce cost and time inefficiencies
  • Take ownership of administrative processes and improve them
  • Build strong working relationships across departments and anticipate team needs before they arise
Required Qualifications
  • High school diploma required. A bachelor’s degree is preferred but not required
  • 4+ years of administrative support experience (required, start-up or nonprofit environment preferred)
  • Experience supporting C-level executives
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Strong attention to detail, time management, and organizational skills
  • Excellent written and verbal communication skills
  • Ability to lift up to 25 lbs and transport supplies as needed
  • Must have a reliable personal vehicle and valid driver’s license
  • Comfortable in a hybrid work environment (3+ days/week in office required)

Pay Range: $66,000 - $70,000 per year
