Role Description

At Atlas Oncology Partners, we believe an exceptional patient experience begins the moment a patient walks through our doors. We are seeking a dedicated and organized Office Supervisor to serve as the operational backbone of our clinic, keeping daily workflows running smoothly, supporting our care team, and ensuring every patient interaction reflects the compassionate, high-quality care we are committed to providing.

This role is the connective tissue between our front-of-house operations, Oncology partner, our clinical team, and the person in it sets the tone for how our office functions day to day. Coordination of our stakeholders and team is critical to success.

As part of a small, nimble team, this role requires someone who is equally comfortable jumping in wherever needed, owning processes from start to finish, and supporting the people around them. The Office Supervisor reports to the Operations Director and serves as the on-site lead for day-to-day office operations, with direct management responsibility for non-provider care team members.

Responsibilities include, but not limited to, the following:

Responsibilities

· Serve as the direct manager for non-provider care team members.

· Serve as the on-site lead and subject matter expert on office workflows and processes, and champion best practices with patients and team members.

· Manage daily and same-day scheduling, including booking, confirming, and rescheduling appointments, infusion visits, and follow-ups; publish monthly shift schedules for administrative staff under the direction of the Operations Director.

· Ensure operational readiness through regular team check-ins, facilitating daily office huddles, monitoring task queues, and reviewing staffing and adherence to standard work.

· Perform inventory management: order and receive office and non-clinical supplies, track expirations, minimize waste, and complete regular counts within the supply budget.

· Handle all front-of-house duties: check-in/check-out, insurance verification, copay collection, paperwork and records requests, phones, and follow-up scheduling.

· Support the financial health of the practice through copay collection, accurate demographic and insurance capture, and routing updates to the billing team.

· Monitor patient feedback and respond to service-recovery issues, escalating to the Operations Director needed.

· Support new team members through training, onboarding logistics, mentoring, and team recognition.

· Maintain the appearance, organization, and readiness of patient- and employee-facing spaces, including opening and closing duties, daily upkeep, restocking, and organization.

· Coordinate facilities, security, IT, and vendor requests as encountered.

Qualifications

· At least 1 year of experience in a supervisory or lead role in high-touch customer service or patient-facing healthcare.

· Proficient in customer service, administrative work, and motivating team members and peers, especially through times of change.

· Skilled in nuanced, compassionate patient communication with an emphasis on consistent, high-quality patient-centered experiences, essential in oncology care.

· Proven ability to foster strong, collaborative team dynamics and a supportive, engaged team culture.

· Experience working on collaborative, diverse, feedback-driven multi-disciplinary teams.

· Strong written and verbal communication skills.

· Comfortable with scheduling software, multi-line phones, and Microsoft Office; experience with EMR systems and medical billing/insurance preferred.
